Copy/Mail Center Specialist/ Telephone Operator

Full-time, Non-exempt

The Catholic Diocese of Cleveland was founded on April 23, 1847. It is the twenty-third largest diocese in the United States. The Most Reverend Edward C. Malesic was installed as the 12thBishop of Cleveland on September 14, 2020. The diocese encompasses the counties of Cuyahoga, Summit, Lorain, Lake, Geauga, Medina, Wayne and Ashland. There are more than 670,000 Catholics in the Diocese, and Catholic Charities- Diocese of Cleveland is one of the largest diocesan systems of social services in the world. There are 185 parishes, 107 Catholic schools, 1 pastoral center and 1 mission office within the diocese. The cathedral is the Cathedral of St. John the Evangelist, located in downtown Cleveland. Primary Function

Under the direction of the Manager, printing and mailing office, performs duties associated with the processing of all mailing, shipping and copying activities and supporting work functions. The duties for this position are split in such a way as to provide cross training and relief help for both functions. The primary duties of the telephone operator are to operate the Cathedral Square telephone console, answering incoming calls in a pleasant, professional manner. The duties associated with mail clerk are sorting and delivery of interoffice mail, and loading/delivery of mail to the Main U.S. Post Office as needed.

Responsibilities:

  • Processes all applicable job requisitions according to departmental standards in a timely and quality oriented manner.
  • Posts letters, packages, etc. using the various methods available in the appropriate cost effective manner.
  • Responsible for the preparation of appropriate mail/shipping reports and related paperwork.
  • Maintains related office equipment as required in operator handbooks to assure proper operation.
  • Monitors and maintains proper level of supplies needed to support smooth office operation and quality service.
  • Services front counter and answers telephone calls. Is responsive to needs generated by customers and vendors. Maintains a professional, courteous and helpful demeanor at all times.
  • Demonstrates competency in assisting with all office functions as they pertain to quality service, including but not limited to: addressing, folding, collating, stuffing, cutting, binding, labeling, zip-coding, and packaging.
  • Processes appropriate billing for services rendered.
  • Processes addressing requests to include labels, listings and direct impressions. Maintains appropriate mail lists to fill related requests.
  • Responsible for scheduled routine delivery and pick up of interoffice and related mail from diocesan offices at Cathedral Square.
  • Proactively attends training sessions to keep current in office equipment operation. Is cross-trained, and performs cross-training in applicable office support functions as requested by Office Director in order to assure fluid continual operation.
  • Answers incoming telephone calls to the Diocesan offices routed through the telephone switch console in a prompt, courteous and efficient manner. Is familiar with the primary mission and function of each Diocesan office so as to route callers to the proper department/party in a friendly, business-like manner.
  • Sorts, collects, and distributes incoming mail as directed.
  • Delivers inter-office mail on schedule to the various departments as directed.
  • Assists in the pick-up and delivery of packages and supplies ordered and received by various Diocesan offices in the Cathedral Square complex.
  • Helps stock and maintain inventory of supplies for the Printing & Mailing Department.
  • Assists in the preparation of outgoing regular and bulk mailings as requested.
  • Performs additional functions as needed or directed.

Qualifications and Required Competencies:

  • High School Diploma (or GED).
  • Prefer 2 years’ experience in printing/copying operation. General familiarity with operation of equipment common to print/copy shop environment.
  • Prefer 2 years’ experience in mail processing operations. Working knowledge of applicable U.S. postal regulations, experience with processing bulk mailing, and use of overnight courier services is desirable.
  • Good communication skills, strong basic math skills, positive, professional demeanor and an orientation toward providing excellent customer service are all desirable.
  • Good physical condition. Ability to stand for longer periods of time and to repetitively lift 40 to 50 pounds on occasion.
  • Working knowledge of Microsoft Office Suite programs.
  • Pleasant, professional demeanor and a clear, distinct and easily understood speaking voice necessary for telephone operation are required. Experience as a telephone operator/Receptionist and with operation of a telephone switch console is preferred. Bi-lingual (English/Spanish) is a plus.
  • Professional appearance, discretion in handling confidential or sensitive information, and the ability to handle an occasionally difficult conversation in a calm professional manner is required.
