St. Sebastian Parish is looking to fill the position of Parish Administrative Assistant (PA). This position will support the Pastor, parish staff, faculty and Julie Billiart School in realizing the goals of the parish and the Diocese of Cleveland. JOB DESCRIPTION: Full time. SUPERVISOR Pastor MINIMUM REQUIREMENTS: Candidate must be a practicing, fully initiated Catholic in good standing, with a love of the Church and understanding of the Eucharist as the source and summit of our lives. Some experience is required either through education or practical work experience in the area. Communication, organization, leadership and people skills are a must. The ability to collaborate, cooperate and add to the joy of the mission of the parish with the rest of the staff must be demonstrated. Transportation, computer and other office skills are required as well as completion of a background check as required by the Diocese of Cleveland. PRIMARY FUNCTION: The PA will be responsible for the daily running of the front office, handling incoming communications and demonstrating gracious people skills, maintaining required diocesan and parish records, including and especially sacramental records and records pertaining to the protection of children (Virtus). Overseeing parish publications as they pertain to the front office, keeping clergy and staff informed of parish activities, coordinating communication between the various entities of the parish, handling registrations when necessary, developing, training and scheduling of support staff and office volunteers. DUTIES & RESPONSIBILITIES: Keep the clergy and staff updated on important parish matters. Assist the clergy in maintaining their weekly calendar, scheduling of sacramental events, and assure, as appropriate, items are communicated to staff and others. Be the welcoming and professional voice and face of the parish as an ambassador of our faith. Help assure adherence to diocesan mandates of employment including the requirements as they pertain to the protection of children (Virtus). Attend monthly staff meetings, record the minutes, and communicate them to the staff on a timely basis. Organize and schedule staff activities and events as appropriate. Maintain existing or new communication vehicles such as the Church bulletin board, website, social media and email lists to facilitate community knowledge and involvement. CRITICAL SKILLS: Proficiency in computer skills including MS Office Suite, calendar, and email systems. Must be able to quickly learn new software in order to support existing membership, financial, website and social media systems. Organization as well as written and verbal communication skills will be critical to support the smooth operation of the Parish Office and integration with departments and other staff. Team work, decision making, time management, self-motivation, initiative, and flexibility will be required to address the office needs. Confidentiality is a must.
