Saint John Vianney Administrative Assistant Location: 7575 Bellflower Road, Mentor OH 44060 Overview of Position St. John Vianney Parish seeks a friendly, organized, and detail-oriented Administrative Assistant to provide front-office and administrative support for our vibrant Catholic parish. This key team member will ensure a warm welcome for parishioners and visitors, maintain parish records, and assist the pastor, business manager, and pastoral staff with daily operations and special events. Duties of the Administrative Assistant include providing support to the priests, pastoral staff, business office and office personnel, including assisting in daily office needs and managing company's general administrative activities.
Level of Work: Full/Part Time Hours: Up to 40/week Report To: Office Manager Key Responsibilities • Serve as the first point of contact: greet and assist parishioners, visitors, and vendors in person, by phone, and via email • Respond to visitors’ requests promptly and professionally; be able to assist them by understanding their questions and providing answers • Provide administrative support to the pastor, business manager, and pastoral team • Prepare parish correspondence, funeral programs, sacramental certificates, and parish mailings • Manage parish calendars and schedule Mass intentions, meetings, and facility use • Support the maintenance of parish registration and sacramental records, updating parish databases (e.g., PDS or diocesan systems) • Sort and distribute incoming mail; prepare outgoing mail and packages • Assist with weekly Mass counts, reports, and parish activity summaries • Order and track office supplies, research pricing, and coordinate with vendors for best value • Assist with the planning and support of parish events, collaborating with staff and volunteers • Provide back-up support for the parish registration and record management system • Ensure compliance with diocesan policies and safe-environment requirements • Other duties as requested or assigned by the Pastor and/or the Office Manager Qualifications • Proficiency in Microsoft Office (Word, Excel, Outlook, Publisher or similar) and ability to learn parish software (e.g., PDS, Parish SOFT, diocesan VIRTUS/VERTU systems) • Working knowledge of office equipment such as printers, scanners, postage meter, and multi-line phone system • Strong written and verbal communication skills • Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines • Attention to detail and problem-solving aptitude • Ability to maintain confidentiality and handle sensitive information with discretion • High school diploma or equivalent required; additional secretarial or administrative training a plus • Familiarity with Catholic parish life or willingness to learn • Flexibility to occasionally assist with evening or weekend parish events • This position will require a background check and training on Virtus (both paid for by employer).
NOTE: Some Parish staff volunteer for various fundraisers or other activities. Volunteer hours are not paid hours. For example, the business manager volunteers time to work at the festival – that time is volunteer time and not paid time.
