The Administrative and Pastoral Assistant provides principal support and office clerical and computer services for the Pastoral Associate, Director of Faith Formation and Catechetics, Parish Catechetical Leader, for Saint Clare and Sacred Heart of Jesus parishes. They are a member of and collaborate with the pastoral staff.
Position Summary: Assistant to work with and report to the Pastoral Associate, assisting with the following: - Weekly Faith Formation (PSR) September-May: Tuesday evenings and Saturday mornings - Sacramental Prep for Grades 2 and 8: Coincides with PSR and includes Saturday events. Additional assistance may be required in Corpus Christi Academy 2nd grade and 8th grade classrooms. Attendance at Sacramental retreats and Liturgies is required (First Reconciliation, First Communion Mass, and Confirmation Mass) - Annual Vacation Bible School (VBS) one week in June: daily 7:30am-1:30pm and Thursday evening 6-8pm - Fundraisers: Faith Formation Bake Sale before/after Saturday vigil Mass and Sunday Masses, Malley’s Easter Candy Sale, and Biannual Shoe Drive. - Parish Ministry Fair one Sunday every other year 10am-2pm - Annual Advent and Lenten Family Nights on Saturday evenings 4:00-8:30pm - Parish Social Media Accounts
Key Responsibilities and Administrative Duties: - Office, clerical and computer work for the Pastoral Associate and Office of Faith Formation: Microsoft Word processing/typing, update and maintain computerized Access databases and Excel spreadsheets, and program records, filing, emails to parents/parish staff/volunteers, mailings, bulletin blurbs, telephone communication skills, weekly PSR catechist memos for Junior High (Grades 7-8) and Elementary (Grades PreK-6), development and emailing of end-of-semester PSR report cards to parents with catechist feedback, retrieve mail from Business Office, updating information on the parish website, regular inventory, counting, sorting, and storage of materials for PSR, Sacramental Prep, and VBS. - Setup, cleanup, and unlocking/locking classrooms and building for Tuesday and Saturday PSR sessions (including weekly materials for teachers), Sacramental Prep retreats and liturgies, Advent and Lenten Family Nights, and VBS. - Purchase and prepare snacks and meals for PSR, VBS, and Sacramental Prep events, coordinating with volunteers when necessary. - Support Adult Special Ed Catechist for Wednesday evening programming via the delivery, printing and setup of materials as necessary, the unlocking/locking of the church as necessary. - Support volunteer coordinator(s) of biannual Shoe Drive via email promotion, the creation of flyers for email/social media/bulletin promotion, and the daily collection of shoes during the Shoe Drive. - Execute and promote the annual Faith Formation Bake Sale and Malley’s Easter Candy Fundraisers. - Communicate with Maintenance Staff as needed for gym/hallway setup for Advent/Lenten Family Night, Bake Sale, Vacation Bible School, and receptions for Fall/Spring Elementary PSR Masses and Rosary Prayer Service in October. - Communicate and support parish Outreach group volunteers regarding recruitment of Grades 7-8 teen volunteers for the November Food Drive, and as needed for the PSR outreach collections. - Support the parish’s religious education and sacramental prep relationship with Corpus Christi Academy through the following: (1) the execution of an Ash Wednesday Service for PreK, (2) tours of the church (3) advertising VBS via classroom visits in May, (4) support of the Pastoral Associate’s sacramental preparation efforts of those children with Catholic parents who are unbaptized or who did not receive First Communion, when there are St. Clare or Sacred Heart of Jesus parish students, (5) classroom visits concerning Confirmation Preparation, and (6) when necessary, teach First Reconciliation and First Communion preparation for 2nd grade. - When necessary, substitute teach for PSR. - Maintain regular posting for social media accounts for both parishes (Facebook, Instagram, X), including performing weekly analytics to send to the pastoral staff of each parish. - In the Pastoral Associate’s absence, is responsible for running the necessary programs, meetings, etc. in addition to the aforementioned duties. - Performs other duties as assigned and discussed with the Pastor, Parochial Vicar, Pastoral Associate, or Business Administrator.
Qualifications: - College students majoring in theology, religious studies, pastoral ministry, or related fields are encouraged to apply. - High school graduate with at least three years of progressively more responsible experience as an administrative assistant with proven organizational abilities. - Bachelor’s or Master’s Degree in Theology or related field equivalency a plus. - Proven organizational abilities that allow for the handling of multiple tasks at one time as well as the ability to adjust to regular interruptions during the workday requiring immediate attention. - Demonstrated knowledge and competence in current technology (specifically but not limited to, MS Office Products; Word, Excel, Access database management, PowerPoint and Canva) and contemporary means of communicating (Facebook, Instagram, X/Twitter, etc.). - Experience and ability to work in a small office environment with a high level of teamwork and cooperation (professional and support staff, as well as volunteers and parishioners) and the ability to work independently as required. - Strong organizational, interpersonal and communication skills compatible with the culture of a Roman Catholic Parish as well as the ability to maintain confidentiality. - Passion for work with pre-school, elementary and junior high age children and their families and volunteers. - Faith-filled with sound understanding of Catholic Theology and practice. - Pastoral presence in the parish, school and community. - A high degree of mobility: walking, lifting, and carrying of materials, especially regarding programmatic setup/cleanup and unlock/locking of buildings. - Ability to network with parishioners. - History of parish ministry experience. - Flexibility and availability for evenings and weekends as necessary for programs and events. - Diocesan Catechetical and/or PCL Certification or a commitment to seek certifications upon hire. - VIRTUS-trained and compliant. - Month of July off except for a few hours a week to check mail and email - Hours: Typically, 32-40 hours a week with somewhat flexible scheduling - Compensation: Hourly, $18 - $22, commensurate with experience To apply: Send letter of introduction, resume, and references to: Lori Mascia, Pastoral Associate, Director of Faith Formation & Catechetics, Church of Saint Clare and Sacred Heart of Jesus Parishes, lmascia.stclare@att.net
