Position: Advancement Services Systems Manager

Reports to: Executive Director

Classification: Exempt, Full Time

GENERAL STATEMENT OF DUTIES: This position will provide professional support to the Catholic Community Foundation with primary responsibility for and oversight of Development and Advancement Services System support, including Raisers Edge/NXT database and other donor support services.

ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES: The essential functions/major responsibilities listed are intended only as illustrations of the various types of work that may be performed. Stewardship Development Office:

  • Manage, train and support personnel on the use and capabilities of The Raiser’s Edge and Raiser’s Edge NXT.
  • Become an expert in Raiser’s Edge and Raiser’s Edge NXT.
  • Continued education on Blackbaud software, specifically on modules that may create new efficiencies for the work of the Catholic Community Foundation.
  • Direct and guide liaison support for mission critical external vendors such as PSG, Give Central, Agiils, Letter Concepts and other support services.
  • Conduct in-depth research on donors and potential donors and create/suggest opportunities to partner with individuals to support parish, school and diocesan programs.
  • Edit and streamline existing Raiser’s Edge and Raiser’s Edge policies and procedures, and make corresponding updates to the Raider’s Edge processes and procedures manual.
  • Explore, test and document new processes for the use of Raisers Edge for all users.
  • Create and run data exports/queries as needed for departments and parishes using Office 365 and run data exports/queries as needed for departments and parishes.
  • Create and manage donation forms in Online Express and The Raiser’s Edge NXT.
  • Perform data support/enhancement services at regular intervals, or as business needs dictate. These include Address Finder, Email Finder, Phone Finder and Deceased Constituent Finder.
  • Create and update pledge audit reports for the CCF and Catholic Charities.
  • Create and assign appeal and package codes for mailings for accurate data tracking and analysis.
  • Create year-end consolidated receipts for recurring donors to the diocese.
  • Supervise gift processing efforts.
  • Supervise major and planned gift administrative support services.
  • Assists the CCF and Catholic Charities in pulling data for mailing lists and reports.
  • Work with Blackbaud environment administrators to set up new users in Raiser’s Edge/NXT.
  • Assist with ongoing integration of Blackbaud (RE and FE).
  • Liaison with the Diocesan Finance Office team.
  • Oversee and support the Development Associate for Philanthropic Services and the Major and Planned Gift Administrator, ensuring effective gift administration, donor record management, and related responsibilities that support donor stewardship, gift administration, and philanthropic services.
  • Perform other work-related duties as requests.

JOB SCOPE:

Position encounters variations in work situations and questions.

Incumbent operates under general directions and instructions and determines own practices and procedures, performing with minimal supervision.

COMMUNICATION/CLIENT CONTACT:

Contacts are normally made inside and outside diocesan offices.

Contacts frequently contain confidential and sensitive matters.

SPECIFIC JOB SKILLS:

Requires understanding of general principles of office operations and Microsoft Office 365, particularly how to use Microsoft Excel and CSV files. Must be proficient in both written and verbal communication. Must have the ability to effectively communicate with individuals whose technical capabilities may vary broadly from one to another, both in-person and through email, chat, MS Teams and various other virtual services.

PREFERRED EDUCATION AND/OR EXPERIENCE:

Bachelor’s degree in finance, business administration or related area preferred.

2-5 years of experience with Blackbaud, specifically Raisers Edge NXT, and/or commensurate technical aptitude preferred.

Prefer Catholic in good standing.

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is required to stand, walk, talk, reach, sit, hear, handle and perform repetitive motions of the hands and wrists.

Lifts and moves items up to 20 pounds.

WORKING ENVIRONMENT:

The work of the position is generally performed in an office setting, but may occasionally be performed remotely, as needed.

This position may require an occasional evening meeting.

A successful candidate should expect to do extensive close computer work.
