Reporting to the Director of Advancement, the Annual Fund and Database Manager shall be responsible for establishing, implementing and managing annual fund giving for the school. The director will focus on building a year-round plan for a successful Annual Fund Campaign. Responsible for database management to include all aspects of constituent information, as well as donor stewardship, identification, recognition and tracking.

Essential Job Functions:

  • Manage VASJ Annual Fund Campaign
    • Develop and oversee the fiscal year plans for the VASJ annual fund campaign in conjunction with Advancement Office.
    • Prepare solicitation materials, prospect lists, and reports as related to annual giving.
    • Cultivate and solicit annual giving for the school.
    • Develop and maintain relationships with all donors to annual fund.
    • Collaborate with the Director of Advancement with annual, as well as long-range goals and objectives for the Annual Fund.
    • Utilize Raiser’s Edge (RE) to record and tract information and actions, visits, produce contact notes, and conduct follow up, following moves management structure with donors and prospects to build comprehensive donor profiles and targeted direct mail strategies.
    • Acknowledge receipt of Annual Fund gifts from donors.
    • Analyze results of the Annual Fund by tracking progress from month to month and generate reports and statistics through RE for Board Committee meetings.
    • Attend and actively participate in all advancement staff meetings.
    • Contribute content related to the Annual Fund to school publications and social media.
    • Establish and maintain permanent, thorough, and orderly records.
    • Conduct research on corporate, individual and foundation donors and prospects as needed/requested.
    • Represent VASJ, when required, at school and non-school events.
  • Manage RE Data Entry and Reporting
    • Import, update and manage data entry through Raiser’s Edge (RE)
    • Organize and maintain constituent records and data accurately and achieve the highest level of data integrity within RE at all times.
    • Prepare letters, reports and mailings utilizing RE information in multiple Office programs by extracting information through queries, lists and frequently used reports.
    • Manage the creation of donor report information.
    • Direct the collection process for annual and long-term pledges.
    • Execute processes to update and clean data on ongoing basis.
  • Support and Assist with VASJ events
    • Work with Advancement Department staff in planning and execution of donor receptions, stewardship events and fundraisers.
    • Oversee invitation lists for stewardship and fundraising events.
    • Represent VASJ at events as assigned.

Qualifications:

  • Bachelor’s degree in nonprofit management or related field such as communications, marketing, public relations or business.
  • Three to five years of successful experience in the area of annual fund fundraising and database management.
  • Demonstrated experience in RE or RE NXT database management required.

Knowledge and Skills:

  • In depth knowledge of Microsoft Office applications; including strong understanding of Excel spreadsheets, importing, exporting, and presentation of data.
  • Experience and proficiency in donor database analysis and report creation.
  • Excellent communication skills, including verbal and written abilities; as well as strong organizations skills and attention to detail.
  • Experience in social media, email solicitations and opportunities for engagement.
  • Familiarity of the teachings, traditions, and values of the Catholic Church, formation and Catholic Education. Enthusiasm to uphold those teachings, traditions, and values.
  • Ability to strongly support the mission of Villa Angela-St. Joseph High School, and develop and sustain a commitment to the charisms of the Marianist and Ursuline sponsorships of the school.
  • Experience with event and program development, recruitment, and implementation.
  • Ability to manage multiple activities in different stages of progress toward meeting deadlines and toward successful events.
  • Present a high level of professionalism, poise, sensitivity, and support in a variety of situations with a variety of stakeholders.
  • Must be able to cooperate with the variety and flexibility of times school functions are held.
  • Reliable transportation for travel to local meetings and events.
