The Catholic Diocese of Cleveland and Holy Name High School are pleased to accept applications for the position of Attendance Secretary. Founded in 1914, Holy Name High School is a diocesan-sponsored, co-educational, comprehensive high school with a college preparatory emphasis and is committed to leading young adults to Christ by educating them in mind, body, and spirit. With a population of more than 655 students in grades nine through twelve, Holy Name High School provides young men and women with a nurturing and supportive educational environment in which to grow academically, spiritually, socially, and morally.

ESSENTIAL JOB FUNCTIONS:

  • Communicate with parents, students, staff, etc. in person, by telephone or in writing for the purpose of providing information on a variety of attendance and/or discipline issues and meeting school and state absence notification requirements.
  • Contact parent/guardian within 2 hours of the start of the school day for any student that is absent without an excuse or parent contact.
  • Coordinates a variety of projects and/or activities (e.g. locker assignments, daily attendance lists, etc.) for the purpose of school operation.
  • Ensures accuracy of attendance records, including verification of truancies for the purpose of complying with State laws governing attendance accounting.
  • Maintains a variety of attendance records, schedules, and files (manual and computer) (e.g. contact and telephone logs, cleared attendance, school calendars, etc.) for the purpose of providing reliable information in compliance with school policies.
  • Maintains students' records relating to discipline and discipline processes for the purpose of documenting events and adhering to educational policies and procedures.
  • Prepares a variety of reports and written materials (e.g. readmit passes, standardized and special attendance reports, letters to parents, etc.) for the purpose of conveying information regarding school activities and procedures.
  • Processes documents and materials (e.g. attendance records, student placement, disciplinary and/or suspension notices, etc.) for the purpose of disseminating information to appropriate parties.
  • Responds to inquiries from a variety of individuals (e.g. staff, parents, other schools, and/or students, etc.) for the purpose of providing information and/or directions as may be required.
  • Works with the Athletic Department to ensure that student athletes are adhering to the policies in place for attendance and notify if tardiness becomes excessive for athletes during their sport season.
  • Establishes, maintains and assures proper use of confidential files including student and personnel records.
  • Assists AP of Academics with substitutes in order to assure adequate coverage for school.
  • Maintain and monitor roster for field trips provided by faculty and make sure student participants are accounted for in attendance log
  • Ensure that field trip transportation is coordinated.
  • Supports Principal and Assistant Principals and other administrative personnel in their administrative functions.
  • Coordinates school district transportation with area public school districts (Cleveland, Parma, Berea for example)
  • General office work (answering phones, copying, etc.)
  • Other duties as assigned by the Principal.

QUALIFICATIONS:

  • Commitment to the teachings and traditions of the Catholic Church and to best practices in Catholic education. Familiarity with the teachings, traditions, and policies, which apply to formation and development of high school-aged youth.
  • The position requires VIRTUS certification and FBI/BCI background check.
  • Associates Degree
  • Experience working in a professional office setting.
  • Strong computer skills, with proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher, and Outlook) and SIS database.
  • Able to operate personal computers, laptop computer, peripheral computer equipment, photocopier, fax machine, and other office equipment with a high degree of skill.
  • Highly motivated with strong organizational skills; able to coordinate multiple tasks simultaneously.
  • Self-starter; able to work independently.
  • Strong telephone and interpersonal communication skills.
  • Ability to lift 40 lbs. to shoulder height occasionally.
