Position: Chief Finance and Operations Officer
Position Summary: Reporting directly to the President, the Chief Finance and Operations Officer provides strategic leadership and oversight to ensure the school’s fiscal health and operational effectiveness. This role serves as a key advisor to the President on financial and strategic matters, including long-term planning, budgeting, cash flow management, investment priorities, and resource allocation. The Chief Finance and Operations Officer will oversee all business-related operations of the school, including the business office, human resources, facilities, technology, transportation, and food services. This position is responsible for developing and implementing policies and practices that ensure efficient, compliant, and mission-aligned operations. As a member of the President’s cabinet team and the Board of Director’s finance committee, the Chief Finance and Operations Officer collaborates across departments to advance institutional goals and sustainability. The role also actively supports and promotes the Catholic, Holy Cross mission and philosophy of the school. We are a private Catholic school rooted in the Holy Cross tradition. Position Responsibilities: • Manage and direct the financial affairs of the school; develop for President and Board of Directors approval and implement budgetary policies and practices; establish and monitor internal accounting control procedures. • Conduct financial modeling/analysis for long-term financial planning and for evaluating and advising on the impact of long-range plans/new programs/strategies. • Oversee the compliance of filings and public information requirements; serve as school’s steward of 501(c)3. • Coordinate cash flow monitoring and monthly reconciliation of records with the Advancement Department for both annual and capital programs. • Collaborate with the Admissions Department and the Advancement Department on the financial assistance needs for all students. • Participate in Hoban Trust Fund Board meetings. Prepare summaries, maintain and update records of endowments in the Hoban Trust Fund, including processing deposits and withdrawals. • Manage financial accountabilities and control of the tuition assistance and scholarship programs. • Apply effective internal controls and financial due diligence to ensure accurate reporting, safeguarding of assets, and compliance with applicable federal, state, and local laws, regulations, and contracts. • Monitor spending needs and expenditures associated with technological, facilities construction and renovations, and food service operations to ensure compliance with approved budget. • Assume final responsibility for the continuous oversight of the school’s facilities (inclusive of athletics and other properties) and operations. Along with other senior staff and personnel, creates and develops plans and organizational strategies to ensure a high-functioning facility that meets the needs of students and employees, including, but not limited to, recommending capital improvement budgets to the President and the Board of Directors. • Provide financial outlook and prospectus on long-term facilities and operational needs to assist in establishing priorities in this area. • Oversight, through subordinate staff, the processing of financial documents, accounts payable and receivable, general ledger entries, internal allocations, payroll and benefits processing, Hoban Store operations, petty cash fund, tuition procedures, bank deposits, transfers, loans, and account management. • Ensure tax filings are prepared and filed on a timely basis. • Collaborate with auditors for compliance and accurate reporting.
Position Requirements: • Bachelor’s degree in business administration, accounting/finance, or related field. • Proven senior leadership experience in accounting/finance, or an equivalent field. Private, nonprofit, and/or educational institution financial management experience preferred. • Proven experience in operational and strategic planning, organizational management, budget development, expenditure monitoring, and staff management and mentorship. • Excellent proficiency and creativity in oral and written communications. • Knowledge of generally accepted accounting principles and practices, laws, and regulations governing non-profits. • Ability to assess situations to determine the importance, urgency, and risks, and make clear decisions that are timely and in the best interests of the school. • Ability to establish cooperative, tactful, effective, and harmonious working relationships with a diverse group of individuals, ranging from senior leadership, school administration, board members, faculty, staff, volunteers, and the general public. Use discretion and tact when responding to sensitive matters or situations. • Proficient in the use of computer programs for accounting, databases, and spreadsheets, including Google applications. • Appropriate criminal records check by the Ohio Bureau of Criminal Identification and Investigation and the Federal Bureau of Investigation. Have attended or are willing to attend a VIRTUS Protecting God’s Children training.
