St. Helen Catholic Church Job Description – Secretary Part Time, 24 hours/week Reports to: Fr. Jay McPhillips, Pastor Purpose of Position: • Efficiently assist the pastor, your coworkers, and parishioners to get the fullest experience within the Church. You will be working closely with the Full-Time Secretary in doing so. • Professionally communicate with staff and parishioners to keep everyone updated with what is going on at St. Helen Church Responsibilities & Expectations: ASSIST PARISHIONERS, COWORKERS AND FR JAY • Welcome visitors with friendly demeanor when they walk into the office and assist them • Any other assistance that is needed by Fr. Jay, other staff members and parishioners ADMINISTRATIVE DUTIES • Professionally answer the phone • Respond to emails sent to you and the secretary emails • Occasionally open, sort and distribute the mail NAVIGATE THE PARISH DATA SYSTEMS SOFTWARE • Enter the offertory envelope information into PDS weekly • Occasionally run reports • Email family envelopes to Our Sunday Visitor every other month • Input new families into PDS ANYTHING ELSE THAT IS ASKED OF YOU FROM THE PASTOR, STAFF AND PARISHIONERS Skills, Experience, and Educational Requirements: • Efficient in Microsoft Office especially Word, Outlook, and Excel • Either a bachelor’s degree or experience working in an office setting Personal Attributes: • Professional and friendly attitude • Quick and flexible learner • Able to keep things confidential from outside of the office • Multitask • Organized
