Position Summary:
The Data Processing Administrator is responsible for accurate and timely gift entry, complex transaction processing, and ongoing donor database administration in support of the Catholic Community Foundation’s advancement operations.
This role ensures the integrity of financial and donor data through reconciliation, validation, auditing, and reporting processes. The position plays a critical role in maintaining compliance, internal controls, and donor record accuracy within Raiser's Edge and related systems.
Provides data processing entry and administration with particular attention to advanced gift transaction, validation and ongoing database record management for the Catholic Community Foundation.
Position Responsibilities
Duties and responsibilities include but are not limited to:
Gift Processing & Reconciliation
- Enter and batch gifts in Raiser's Edge, ensuring all entries reconcile with daily financial deposits.
- Process daily gift downloads from third-party vendors, including data validation, exception resolution, batch verification, and commitment within Raiser’s Edge.
- Communicate with vendors regarding discrepancies, errors, or data clarification.
- Verify and apply accurate gift coding and fund designation to ensure proper accounting and reporting.
- Process complex gifts, including but not limited to:
- IRA distributions
- Private and family foundation gifts
- Employee payroll deductions
- Bequests and planned gifts
- Matching gifts
- Memorial and honorarium gifts
Database Management & Quality Control
- Maintain donor database integrity by entering updates, additions, and record corrections.
- Perform proactive audit queries within Raiser’s Edge to identify inconsistencies, duplicates, or data gaps and resolve or escalate as appropriate.
- Administer special processing scenarios involving multi-step or restricted gift handling.
Reporting & Data Administration
- Extract and generate mailing lists, email lists, appeal files, exports, ad hoc reports, and data imports to support fundraising and communication initiatives.
- Assign attributes and manage data maintenance functions within Raiser’s Edge.
Donor & Team Support
- Respond to donor inquiries related to gift processing.
- Serve as backup support for all data and gift processing functions within the advancement team.
- Perform other duties as assigned.
Qualifications
- Associate’s degree or equivalent experience preferred.
- Minimum 2–3 years of data entry or gift processing experience in a nonprofit, foundation, or advancement environment preferred.
- Experience with Raiser's Edge strongly preferred.
- Strong proficiency in Microsoft Excel and comfort learning new software platforms.
- High attention to detail and accuracy in financial reconciliation.
- Ability to manage confidential donor information with discretion.
