POSITION SUMMARY:

St. Vincent-St. Mary High School seeks a mission-driven, forward-thinking, and detail-oriented leader to serve as the Director of Data Systems, Technology & Academic Records. This role integrates registrar responsibilities, data systems management, database development, and software oversight to ensure the integrity, security, and effective use of all school data and technology platforms. Rooted in the Marianist charism of educating the whole person—mind, body, and spirit, this position supports the school's commitment to academic excellence, operational efficiency, and faith formation. The Director ensures that data systems and technology enhance teaching and learning, streamline operations, and effectively support faculty, staff, students, and families. This role also serves as a strategic partner in technology planning, system evaluation, and software implementation, maintaining a forward-looking approach to the school's data infrastructure while ensuring mission-aligned solutions.

CORE RESPONSIBILITIES:

I. Data Systems, Database & Software Management:

  • Maintain and optimize databases to support academic and operational needs
  • Serve as primary administrator for the Student Information System (SIS) and related platforms
  • Ensure the accuracy, integrity, security, and accessibility of all school data
  • Develop, document, and enforce data governance protocols and system controls
  • Manage system configurations, updates, integrations, and ongoing maintenance
  • Build dashboards, queries, and custom reports to support data-informed decision-making

II. Systems Integration & Software Implementation:

  • Evaluate, research, and recommend software and database solutions aligned with school goals
  • Lead the selection, implementation, and lifecycle management of technology platforms
  • Manage integrations across systems to ensure seamless data flow
  • Provide ongoing support, troubleshooting, and performance optimization
  • Collaborate with vendors and internal teams to ensure successful implementation
  • Support academic leadership with scheduling, systems, and program needs
  • Provide data analysis and reporting for school improvement initiatives
  • Support operational needs across the school

III. Academic Records & Registrar:

  • Serve as the official school Registrar, maintaining accurate and confidential student academic records
  • Manage transcripts, report cards, GPA calculations, and honor rolls
  • Oversee course histories, grading processes, and academic record integrity
  • Coordinate student enrollment, withdrawals, and records transfers
  • Lead grading cycles, verification processes, and report distribution
  • Maintain cumulative records in compliance with state, diocesan, and accreditation requirements
  • Prepare academic reports, eligibility lists, and documentation for internal and external stakeholders

IV. Staff Training & Support:

  • Provide ongoing training, resources, and technical support for users at all levels
  • Serve as a bridge between technical systems and non-technical users, translating solutions into clear, usable processes

V. Compliance & Data Governance:

  • Ensure compliance with State of Ohio and the Diocese of Cleveland reporting requirements
  • Support accreditation standards and institutional reporting
  • Establish and enforce data governance policies and best practices
  • Conduct regular data audits, validation, and quality assurance checks
  • Maintain strict confidentiality and ethical handling of sensitive information

VI. Faith Formation & Marianist Identity:

  • Model and support the Catholic mission and Marianist charism of STVM
  • Participate in school liturgies, retreats, and formation programs
  • Engage in community-building and faith-based initiatives
  • Promote a spirit of service, humility, collaboration, and respect for all

QUALIFICATIONS:

  • Required:
    • Bachelor's degree in Information Technology, Data Systems, Educational Technology, or related field (or equivalent experience)
    • 5+ years of experience in student information systems, database management, or IT systems support
    • Experience with Blackbaud Education Management or similar SIS/CRM platforms
    • Experience with Google Workspace, APIs, SQL, or other data integration tools
    • Demonstrated ability to design, build, and maintain databases and integrated systems
    • Strong knowledge of data systems, reporting tools, analytics, and integrations
    • Exceptional attention to detail and commitment to data accuracy
    • Strong communication and interpersonal skills, including the ability to train and support faculty and staff
    • Ability to manage multiple priorities and meet deadlines
    • Commitment to confidentiality and professional integrity
    • Strong organizational, time management, and problem-solving skills
  • Preferred:
    • Experience in a Catholic or faith-based educational environment
    • Leadership or supervisory experience in IT or systems roles
    • Advanced degree or relevant certifications (e.g., CETL)

WORK ENVIRONMENT:

Full-time, on-site, 12-month position with regular interaction with students, faculty, staff, and families. Occasional evening or weekend responsibilities may be required for technology support.
