SACRED HEART CHAPEL - POSITION DESCRIPTION for OFFICE ADMINISTRATOR POSITION CLASS SUPERVISOR Full-time position Sacred Heart Chapel Pastor

MINIMUM QUALIFICATIONS Candidate must be a fully initiated, practicing Roman Catholic with a strong commitment to the philosophy of holistic, experience-based, and on-going formation in the Catholic faith and spirituality Must have experience in the Hispanic Community and be bilingual (Spanish/English) Possess strong written and verbal communication skills; make sound decisions and work effectively in a team oriented culture. Have proficiency in Microsoft Suite, to include Word, Excel, Publisher, PowerPoint. Have the ability and motivation to quickly master other software programs e.g. ACS Technologies, a church management software program, and Ministry Schedule Pro software, the parish website maintenance, social media outreach, etc.

PRIMARY FUNCTION The Office Administrator supports the Sacred Heart Chapel Pastor, staff and parish in their mission to live as an engaging Catholic community, formed by the Gospel, nourished by the sacraments and centered in the Eucharist. Rooted in Hispanic cultures, the parish embraces diversity and welcomes all. Sacred Heart Chapel seeks to grow in faith and share it, to build unity and promote justice. The candidate must have the ability to multi-task, be organized, patient, flexible, caring and enjoy working in a fun and fast-paced environment. The candidate must prioritize and perform the primary administrative functions of the staff and parish. Further, the candidate must work with a sense of urgency, exercise courtesy to fellow employees, parishioners and the general public, be a self-starter and maintain confidentiality. The candidate must meet deadlines, manage interruptions, work independently and take initiative.

DUTIES AND RESPONSIBILITIES INCLUDE: Collaborate as a member of the parish staff for the overall parish spiritual mission Report to the Pastor, consult with the staff and communicate with the Diocese of Cleveland Provide secretarial and related office services for the Pastor, the staff and other committees Serve as first contact for those calling and visiting the parish office Attend parish meetings related to duties and responsibilities Have the ability to travel locally as required. Greet and refer visitors, schedule appointments, process mail, word process letters, reports, and memos and remain current and accurate records with the office record-keeping systems. Maintain the schedule and calendar of parish facilities and monitor facility keys Oversee office supply inventory Prepare and produce a weekly bulletin. Maintain parish offering envelope system, sacramental record keeping system, and a comprehensive and up-to-date filing system Maintain parish records determined necessary by the Pastor and Diocesan policy. e.g. sacramental records, Virtus records, attendance sheets, etc. Prepare a monthly schedule for communion ministers, lectors, altar servers, deacons and celebrants including holy days and seasonal masses Identify and recruit volunteers; provide for their training and supervision for appropriate functions Perform other duties related to the position at the request of the Pastor Successfully pass a background and criminal history check
