Parish Secretary: St. Mark

Description St. Mark Parish is a medium-to-small parish in the Diocese of Cleveland, with 1900 registered parishioners. The major focus of the parish’s mission is the parish school, which is currently at its max capacity of 425 students with 80% of the student population being Roman Catholic. We are seeking a Parish Secretary who will serve as the organizational heart of our parish office, providing essential support to our pastor and welcoming all who come through our doors. The Parish Secretary is the first point of contact for parishioners and visitors, managing the day-to-day operations that keep our parish running smoothly. You'll work directly with the pastor to support the administrative and sacramental life of our community, ensuring that everyone who reaches out receives prompt, compassionate service.
Primary Responsibilities: Communication and Hospitality • Serve as the welcoming voice and face of the parish by answering phones and greeting visitors • Publish and maintain our primary communication channels including the Sunday bulletin, weekly eBlast, and parish website • Create and manage parish calendars, coordinating the annual scheduling process Secretarial • Provide office support to the pastor and staff members • Maintain the database of registered parishioners • Prepare liturgical minister schedules and maintain rosters Sacramental Support • Direct sacramental requests to pastoral staff and gather initial information • Make entries into sacramental records and prepare certificates and notifications • Prepare the annual Status Animarum report to the Diocese Additional Duties • Maintain Virtus compliance records for all volunteers • Setup sacristy essentials for weekend masses • Process order requests • Coordinate scheduling for outside clergy assistance when needed
Qualifications: Experience and Education • Basic familiarity with Catholic faith practice • High school diploma required, or equivalent experience in a similar role • Experience in parish or nonprofit administration is helpful but not required Skills and Strengths • Warm interpersonal skills and a welcoming presence • Strong attention to detail and organizational abilities • Proficiency with computers including email, document creation, databases, and calendars • Clear written and verbal communication • Respect for the confidential nature of parish work Work Environment • General office environment with standard sitting, walking, and stair climbing • Regular computer use including typing and extended screen time • Communication via phone, email, and in-person interaction Compensation and Benefits • Salary Range: $30,000 to $40,000 • Hours: Full-time, 40 hours per week. Monday through Friday, 8:30am to 4:30pm, with 30 minute lunch at Noon. • Benefits: PTO, Parental Leave, Health, Dental & Vision Insurance, Pension, Life Insurance, Short Term Disability Insurance • This is a non-exempt position reporting to the Pastor.
