Upper School Office Manager: Our Lady of the Elms

Responsibilities include, but are not limited to: Administrative and Office Support ● Serve as the central point of contact for faculty, students, families, and visitors ● Answer phones, monitor front door, greet students & faculty, address needs or concerns as they arise throughout the day ● Coordinate & maintain the principals schedule, Google calendars, school calendar, and assist in managing daily operations ● Maintain office supplies ● Assist with free/reduced lunch program & Title 1/Aux Services as needed Records and Data Management ● Maintain and update faculty credential files, student files, and databases, ensuring accuracy and confidentiality in accordance with state and federal law. ● Manage emergency medical authorization forms and student attendance records (absences, tardiness, early dismissals), generating daily reports as required. ● Complete and file demographic and credential information for faculty, students, and staff, including but not limited to: ● Nonpublic data reports ● Annual verification standards ● Standard school surveys ● Ohio Catholic School Accrediting Association (OCSAA) ● Northwest Evaluation Association (NWEA) ● Average Daily Membership reports ● Virtus training records ● Ohio Department of Commerce filings ● Special Education counts ● ES/MS Religion Certificates Event & Scheduling Coordination ● Schedule facility use for meetings, activities, and events. ● Support planning and execution of school events (e.g., field trips, assemblies, grade-level programs), including ordering food, reserving spaces, arranging transportation, and providing day-of assistance, with possibly modified work schedule ● Create and update faculty forms as needed. ● Coordinate with leadership in preparation for state testing. ● Other tasks as discussed in collaboration with leadership/supervisor. Communication & Compliance ● Draft and distribute internal communications in consultation with the Principals and Directors. ● Maintain consistent, professional communication with parents and staff through email, phone, and in-person interactions. ● Uphold and enforce school policies; maintain confidentiality of all records and communications. ● Complete and maintain required compliance training (e.g., Virtus). ● Other tasks as discussed in collaboration with leadership/supervisor.
