Purpose The Director of Parish Operations serves as the primary administrative executive of the parish, working at the direction of the Pastor/Administrator and in support of his vision for the parish. The Director of Parish Operations collaborates with other members of the Pastor’s/Administrator’s senior leadership team to ensure consistency in driving the mission of the parish and the Pastor/Administrator’s vision across all aspects of the parish. This role is responsible for overseeing all non-pastoral functions within the parish, along with special projects and administrative operations while ensuring compliance with diocesan policies and relevant regulatory and other requirements.
Overall/Strategic Responsibilities β Serve as the Pastor/Administrator's principal advisor on business, financial, legal, operational and other matters β Direct the day to day non-pastoral operations and administration of the parish including financial, human resources, legal, facilities and grounds, information technology, marketing and development β Plan and execute special projects as directed by the Pastor/Administrator β Develop and implement operational policies and procedures that promote efficiency (stewardship of parish resources and time), accountability and outstanding service to all parish stakeholders β Assist the Pastor/Administrator in developing, implementing and monitoring progress toward parish strategies, goals and priorities, including the development of a strategic plan β Coordinate initiatives and support across all parish ministries to ensure consistency and properly aligned priorities β Communicate on behalf of the parish at the request of the Pastor/Administrator or in his absence β Provide recommendations for resource allocation among the various ministries aligned with the parish mission, strategies and goals β Collaborate with school leadership to further the mission and vision of Catholic education
Financial Responsibilities β Supervise and collaborate with Parish Finance Manager β Provide input and recommendations on financial matters including financial systems and processes, operating and capital budgets, contracts and vendor selection β Review monthly financial performance and key metrics including weekly offertory, online giving, various campaign progress, compensation, operating expenses and capital expenditures. β Identify opportunities for enhancing efficiency through the use of technology and modified processes. β Participate in the internal control structure through review and approval β Evaluate internal controls annually to ensure parish-wide compliance β Attend regularly scheduled Parish Finance Council and Parish Pastoral Council Meetings β Oversee purchasing process to ensure timely and effective response to execute ministry initiatives
Human Resources and Legal Responsibilities β Foster a collaborative, mission-focused, parishioner-oriented work environment β Supervise direct reports, lead staff meetings and ensure timely and relevant communications β Oversee hiring, performance management, and professional development β Collaborate with other supervisors and Pastor/Administrator on personnel issues. β Ensure compliance with employment laws and diocesan policies β Consult with Diocesan legal counsel/outside counsel as needed to ensure the interests of the parish are responsibly represented and appropriately protected. β Review contracts for goods and services, licenses, or other matters and consult with diocesan legal counsel as required by diocesan policy. β Develop a system of parish knowledge management and succession planning.
Facilities and Grounds Responsibilities β Supervise and collaborate with Maintenance/Custodial β Develop long term capital maintenance and improvement plans β Identify and prioritize needed upgrades/enhancements/repairs to buildings and grounds β Oversee vendors and service agreements for key building systems (HVAC, fire/life safety, plumbing, electrical, landscaping, snow removal) β Oversee facility usage and compliance with safety regulations Technology Infrastructure and Innovation Responsibilities β Oversee parish technology infrastructure to ensure reliability, continuity, efficiency, productivity and security
Marketing andDevelopment Responsibilities β Identify and support parish marketing efforts to enhance the evangelization mission of the parish β Manage the creation and publication of the weekend bulletin β Drive fundraising enhancement opportunities, parish and diocesan campaigns and other development initiatives Required Qualifications β Bachelor’s Degree β Professional certification and/or advanced degree preferred β At least ten years of demonstrable senior leadership experience that includes both financial and operational experience at the senior level of an organization β Administrative experience in Catholic Church organizations preferred β Excellent organizational, leadership and project management skills β Strong communication and interpersonal abilities β Knowledge of technology as required to complete assigned duties Personal and Professional Attributes β Proven commitment to the mission and values of the Catholic Church, Catholic education and the mission of St. Bernadette Parish β Ability to multi-task, maintain confidentiality and exercise sound judgement β Integrity, professionalism and commitment to service β Critical thinking and problem solving abilities β Collaborator who will build and maintain positive relationships across all staff functions β Commitment to customer (parishioner, parent, colleagues) service β Ethical and decisive leader who will support the Mission of St. Bernadette
