Position Summary

Saint Ignatius High School is seeking an experienced and highly organized Executive Administrative Assistant to provide comprehensive administrative support to the Principal. This highly visible role requires a proactive professional who can anticipate needs, manage competing priorities, coordinate schedules and projects, and serve as a trusted point of contact for the Principal's office.

The ideal candidate will bring strong judgment, discretion, communication, organization, and project-management skills, along with a warm and service-oriented approach. The Executive Administrative Assistant will interact regularly with students, families, faculty, staff, administrators, board members, and external partners.

Schedule

  • Full-time, year-round position.

  • 12-month position working throughout the calendar year.

  • Requires flexibility to support school events, meetings, and special projects.

  • Reports directly to the Principal or other designated administrators.

Essential Responsibilities

Executive Support & Scheduling

  • Manage the Principal's daily and long-term calendar, including meetings, projects, and priorities.

  • Schedule meetings and travel while prioritizing competing demands and communicating relevant information to participants.

  • Balance conflicting priorities and ensure important projects and deadlines are completed.

  • Prepare materials and information needed for the Principal's upcoming appointments and meetings.

  • Serve as a professional confidant, sounding board, and administrative partner to the Principal.

  • Provide proactive support by anticipating the Principal's needs and upcoming responsibilities.

Budget & Contract Administration

  • Manage the Principal's office budget.

  • Reconcile monthly office expenses with credit card statements.

  • Collaborate with academic departments regarding budgets, funding applications, and travel.

  • Review, prepare, and produce faculty contracts in collaboration with the Principal and Assistant Principal for Faculty Formation.

School Administration & Reporting

  • Work with the administrative team to support the effective operation of the school.

  • Prepare and submit significant reports to organizations and agencies including:

    • Diocese of Cleveland

    • Jesuit Schools Network

    • Midwest Province of the Jesuits

    • State of Ohio

  • Handle telephone, email, and postal inquiries and respond or direct them appropriately.

  • Maintain accurate and confidential administrative information and records.

Events & Communications

  • Coordinate and oversee planning and execution of commencement.

  • Coordinate and implement large-scale school events throughout the academic year.

  • Collaborate with the Principal and faculty and staff members to produce the Peek at the Week weekly newsletter for students, families, and employees.

  • Support school communications and publications using appropriate digital tools.

  • Experience with Mailchimp is desirable.

  • Assist with special projects and additional administrative initiatives as assigned.

Customer Service & Community Relations

  • Serve as a primary point of contact for relationships involving the Principal and:

    • Students

    • Parents and guardians

    • Faculty and staff

    • Administrators

    • Board members

    • External partners

    • Visitors

  • Create a warm, professional, confidential, and welcoming environment within the Principal's office.

  • Provide high-quality service and assistance to members of the Saint Ignatius community.

Qualifications

Required / Preferred

  • Associate's degree or equivalent experience preferred.

  • At least 10 years of proven experience in an executive office setting.

  • Educational office experience preferred.

  • Excellent written and verbal communication skills.

  • Strong knowledge of standard clerical procedures and office operations.

  • Professional telephone and email etiquette.

  • Advanced proficiency with Microsoft Office applications, including:

    • Word

    • Excel

    • PowerPoint

    • Publisher

  • Proficiency with Google Workspace and other administrative technology.

  • Experience with office management systems and administrative procedures.

  • Strong scheduling, document-management, meeting-coordination, and communication skills.

  • Experience with planning and project management.

Compensation
