The Catholic Diocese of Cleveland and Villa Angela – St. Joseph High School (VASJ) are pleased to accept applications for the position of Director of Alumni Relations and Event Planning. Founded in 1990 when Villa Angela Academy merged with St. Joseph High School, Villa Angela– St. Joseph High School is a diocesan-sponsored, co-educational, comprehensive, college preparatory high school rooted in the Ursuline and Marianist traditions. VASJ is committed to the spiritual, academic, and personal growth of each student. With a population of about 500 students in grades nine through twelve, Villa Angela – St. Joseph High School provides young men and women with a nurturing and supportive educational environment in which to grow academically, spiritually, socially, and morally.


BASIC FUNCTION AND RESPONSIBILITIES: DIRECTOR OF ALUMNI RELATIONS

The Director of Alumni Relations shall be responsible for establishing, implementing and managing our alumni and constituents for the school. All functions are in furtherance of the Mission Statement of the School.

Support the mission of Villa Angela-St. Joseph High School, and maintain a working commitment to the charisms of the Marianist and Ursuline sponsorship of the school.

PERFORMANCE DUTIES AND RESPONSIBILITIES OF ALUMNI RELATIONS

  • Develop, plan, and execute comprehensive alumni programs and activities to increase alumni engagement, including events, networking opportunities and gatherings to promote involvement with and support of VASJ.
  • Collaborate with Director of Marketing and communications to manage alumni communications, newsletters, and social media posts.
  • Plan, execute, and oversee all class reunions, and alumni gatherings for alumni from St. Joseph High School, Villa Angela Academy and VASJ.
  • Engage in collaborative stewardship and relationship management with the Advancement Department.
  • Ensure accurate maintenance of alumni records and contact information.
  • Generate interest and participation of alumni and friends to our school through new and innovative programs.
  • Coordinate efforts of the VASJ Young Alumni Association – increasing membership/involvement, planning meetings, and creating opportunities to give back to VASJ with time, talents and treasures.
  • Communicate with alumni prospects for fundraising, as necessary.
  • Possess strong communication skills, including strong listening skills and the ability to work independently and collaboratively with a high degree of organizational skills.
  • Attend weekly Advancement department meetings.
  • Represent VASJ, when required, at school and non-school events.
  • Perform all other duties or tasks as may be required by the Director of Advancement

BASIC FUNCTION AND RESPONSIBILITIES OF EVENT PLANNING

The Event Planner needs to have a comprehensive understanding of event planning, be organized, detail oriented, enthusiastic and kind. Have the ability to manage school events from conception through completion, including the school’s annual Gala event/fundraiser. Event Planner responsibilities include providing outstanding customer service and organizing memorable events that meet quality expectations.

PERFORMANCE DUTIES AND RESPONSIBILITIES OF EVENT PLANNING

  • Event planning, design and production within time limits.
  • Ability to manage multiple projects, priorities and deadlines.
  • Propose ideas to improve school events, on a continual basis.
  • Plan events within the school-approved budget.
  • Work with the marketing and communications department to promote and publicize events.
  • Organize facilities and manage all event’s details such as décor, catering, entertainment, invitee list, equipment, and promotional materials.
  • Organize and recruit volunteers needed for events.
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day.
  • Conduct post evaluations and report the outcomes to the advancement team.
  • Establish and maintain a permanent, thorough, and orderly record of all events, including vendors, volunteers, supplies, budget and outcome.
  • Perform all other duties or tasks as may be required by the Director of Advancement

QUALIFICATIONS/SKILLS

  • Bachelor’s Degree
  • 3-5 years of experience in nonprofit advancement, marketing, and/or event planning
  • Ability to work in a fast-paced environment and manage multiple projects simultaneously
  • Experience and proficiency in Microsoft Office
  • Design skills
  • Excellent organizational and communication skills – both written and verbal
  • Experience in event management systems preferred
  • Social Media management experience a plus
  • Raiser’s Edge database experience a plus

WORKING ENVIRONMENT:

  • Normal office hours are 7:30 AM to 3:30 PM Monday through Friday.
  • Involves some flexible hours and work beyond the regularly scheduled hours, including evenings and weekends.
