Academic Administrative Support

Position Summary

The Academic Administrative Support provides comprehensive administrative support to the Principal and Assistant Principal while overseeing student attendance processes, maintaining accurate academic records, and serving as a welcoming point of contact for students, families, faculty, and visitors. This position plays a vital role in supporting the school’s academic operations and ensuring compliance with attendance policies and reporting requirements.

Essential Responsibilities

Administrative Support:

  • Provide administrative support to the Principal and Assistant Principal, and Deans
  • Prepare correspondence and meeting minutes as requested.
  • Maintain confidential student and personnel records in accordance with school policies and applicable laws.
  • Answer phones, greet visitors, and direct inquiries appropriately.
  • Assist with preparations for faculty meetings, professional development sessions, and school events.

Attendance Management:

  • Record and monitor daily student attendance.
  • Process absences, tardies, early dismissals, and attendance corrections.
  • Communicate with parents and guardians regarding attendance concerns.
  • Generate attendance reports.
  • Assist Deans in monitoring chronic absenteeism and provide reports to school Administration.
  • Maintain attendance records required by the Diocese and the State of Ohio.

Student & Family Services:

  • Serve as the first point of contact for students visiting the Principal’s Office.
  • Assist families with attendance questions and academic records.
  • Support student discipline documentation as directed by administration.

Data & Compliance:

  • Input and maintain accurate data in the school’s Student Information System.
  • Ensure confidentiality of student records in compliance with FERPA.
  • Assist with record retention requirements.
  • Assist with the preparation of Federal, State and Diocesan reporting documentation.

Qualification:

  • High school diploma required; associate’s degree preferred.
  • Minimum of three years of administrative or receptionist experience, preferably in a school or nonprofit setting.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities while maintaining accuracy.
  • Professional demeanor and commitment to outstanding customer service.
  • Uphold the values of the Catholic faith
  • Able to pass FBI/BCI background check
  • VIRTUS certified or willing to be certified

Preferred Qualifications:

  • Experience with attendance reporting and student information systems.
  • Experience working in a Catholic school environment.

Physical Requirements

  • Ability to sit or stand for extended periods.
  • Frequent use of computers, telephones, and office equipment.
  • Ability to occasionally lift up to 25 pounds.
