Job Summary
This Administrative Assistant provides comprehensive administrative, organizational, and program support to the Parish Catechetical Leadership team in fulfilling the parish's mission of faith formation and evangelization. This position serves as the first point of contact for the Office of Catechetical Formation, welcoming visitors, answering phones, and providing exceptional customer service to parishioners, families, volunteers, and staff.
Essential Functions
Provide front office support in answering phones and welcoming visitors.
Support the general appearance and upkeep of the office building and supplies.
Partner with the Parish Catechetical Leaders in the planning and implementation of faith formation programs, including Parish School of Religion (PSR), the Order of Christian Initiation of Adults and Children (OCIA and OCIC), and sacramental preparation for children and adults.
Assist with planning and coordinating program logistics, including ordering supplies, making facility requests, and preparing items for meetings.
Maintain and organize records accurately, neatly, and according to Diocesan requirements and the needs of the Parish Catechetical Leaders.
Communicate with participants enrolled in various Parish Catechetical Leader programs, including PSR, OCIA, and volunteers.
Support Parish Catechetical Leaders in the recruitment of volunteers.
Prepare materials as needed for all Parish Catechetical Leader programs.
Assist in the execution of programming from the Parish Catechetical Leaders' offices, including PSR nights, sacramental ceremonies, and other evening or weekend activities as needed and at the direction of the Pastor or Parish Catechetical Leader.
Provide general flexibility and support to the Parish Catechetical Leaders in department programs from inception to completion as needed.
