Business Office Receptionist / Administrative Assistant

Reports To: President’s Administrative Assistant
Classification: Full-Time, Non-Exempt
Department: Business Office

Position Summary

The Business Office Receptionist/Administrative Assistant serves as the welcoming first point of contact for students, families, visitors, alumni, vendors, and community partners while providing administrative and operational support to the Business Office. This position contributes to the efficient operation of the school by maintaining exceptional customer service, supporting financial and administrative processes, and promoting the mission and values of Cleveland Central Catholic High School.

Essential Responsibilities

Reception & Customer Service

  • Serve as the primary receptionist for the Business Office.
  • Greet visitors in a professional, courteous, and welcoming manner.
  • Answer and direct incoming telephone calls and respond to general inquiries.
  • Receive and distribute incoming mail, packages, and deliveries.
  • Organize meetings and hospitality for visitors.
  • Prepare hospitality for advisory board meetings.
  • Maintain a calendar of events, meetings, room usage (Fr. O’Connor and Fr. Fiala)

Administrative Support

  • Assist the Finance department with collection of tuition payments and voucher documents.
  • Maintain transcript request system (e.g., college applications, current and former student requests)
  • Distribute RTA tickets to approved students, maintain distribution records, and request tickets from RTA as needed.
  • Maintain staff directory
  • Collaborate with various departments to schedule and coordinate special events (e.g., Faculty/Staff Christmas Party, Opening & Closing faculty/staff luncheon, Parent-Teacher Conferences dinner for faculty/staff).
  • Maintain organized electronic and paper filing systems.
  • Order and maintain office supplies and equipment.
  • Serve as the primary contact for vendors.
  • Assist with special projects and events, as assigned.
  • Collaborate with the academic departments to create and distribute monthly mailings.
  • Assist student group moderators with programmatic needs (e.g., copy programs, order food, etc.)
  • Assist the academic departments with the graduation ceremony, as needed.

Financial Support

  • Receive tuition and other school payments.
  • Assist with the selling of school uniforms.

Student & Family Services

  • Assist parents with tuition payment questions and direct them to appropriate staff.
  • Provide forms and information related to business office procedures.
  • Support enrollment and registration activities as needed.
  • Collaborate with Admissions, Advancement, and the Main Office to ensure excellent customer service.

Qualifications

  • High school diploma required; associate’s degree preferred.
  • Minimum of three years of administrative or receptionist experience, preferably in a school or nonprofit setting.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
  • Experience with student information systems is a plus.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities while maintaining accuracy.
  • Professional demeanor and commitment to outstanding customer service.
  • Uphold the values of the Catholic faith
  • Able to pass FBI/BCI background check
  • VIRTUS certified or willing to be certified

Physical Requirements:

  • Ability to sit or stand for extended periods.
  • Frequent use of computers, telephones, and office equipment.
  • Ability to occasionally lift up to 25 pounds.
