Position Summary

The Student Accounts Specialist is a member of Beaumont School's Finance Department and is responsible for overseeing all aspects of student accounts, school receipts, and collections.

Beaumont School is a Catholic school in the Ursuline tradition that educates women for life, leadership, and service.

Essential Responsibilities

Student Accounts & Accounting

  • Maintain accurate student accounts in Blackbaud Billing Management, including calculating amounts owed, establishing payment plans, and recording student fees to individual accounts.

  • Collect and record payments, financial aid, and credits to student accounts.

  • Follow up on delinquent accounts with parents and advise school leadership of relevant status and concerns.

  • Serve on the Financial Aid and Scholarship Committee.

  • Maintain the financial aid waiting list and keep the Controller and Director of Admissions informed.

  • Prepare and electronically maintain required financial enrollment information.

  • Verify receipts for all students and complete timely follow-up as needed.

  • Serve as a liaison among the State of Ohio Department of Education and Workforce (ODEW), parents, Beaumont's Admissions Office, and the Principal to facilitate state scholarship renewals.

  • Work with families to ensure timely receipt of required scholarship renewal information.

  • Track scholarship checks requiring parent signatures.

  • Attend Open House, related admissions events, and Curriculum Night.

  • Prepare tuition and fee announcements for new and returning students.

  • Coordinate with the Catholic Diocese of Cleveland regarding Diocesan Tuition Assistance, Fund a Dream, Angel Scholarship Fund, and emergency grant applications.

Administrative Support

  • Process ACH (Automatic Clearing House) transactions, including refunds, HSA transactions, vendor payments, and other applicable transactions.

  • Draft letters and forms and make phone calls as needed.

  • Prepare timely Finance Department reminders for the parent newsletter.

  • Maintain and organize hard-copy and electronic files.

  • Provide support to Formsite users.

  • Complete weekly check deposits.

  • Maintain records related to State of Ohio Auxiliary Funds.

Monthly & Annual Reporting

  • Reconcile ODEW deposits and student accounts at the end of each month and fiscal year.

  • Import and record Blackbaud Raiser’s Edge NXT deposits in Blackbaud Financial Edge NXT in coordination with the Advancement Office.

  • Complete monthly Billing Management journal entries.

Qualifications

Education

  • Bachelor's degree preferred, preferably in accounting, finance, and/or education.

Experience

  • Minimum of three years of accounting experience.

  • Experience with student accounts or accounts receivable is beneficial based on the responsibilities of the position.

  • Experience with Blackbaud Billing Management, Raiser’s Edge NXT, Financial Edge NXT, and ODEW is highly preferred.
