Finance Office Assistant Part-time (15 hours per week) 12 month position Responsibilities of the Finance Office Assistant include but are not limited to: - Assisting Finance Manager in matters related to invoicing, accounts receivable and accounts payable. - Maintaining accurate financial and accounting records within the accounting system as directed by the Finance Manager. - General office duties, including mailings and filing. - Data entry focused with emphasis on accuracy and efficiency. The Finance Office Assistant reports to the Finance Manager.
The Finance Office Assistant assists the Finance Manager as needed and requested in the following areas:
FUNCTIONS OF THE FINANCE OFFICE ASSISTANT: 1. Accounts Payable (weekly): -Data entry of invoices and process payments on a timely basis 2. Tuition billing and collection (annually & ongoing): -Assist in invoicing tuition to families, including application of financial aid/scholarships, discounts, and appropriate fees as directed by the Finance Manager -Assist in uploading tuition invoice amounts to
FACTS MANAGEMENT -Post to QuickBooks tuition payments received via
FACTS MANAGEMENT (weekly) -Interface with
FACTS MANAGEMENT for tuition collection service 3. Maintain parishioner status for tuition rate qualification (annually and ongoing) 4. Cash management (weekly and ongoing): -Enter credit card charges -Maintain Square transactions (download and post to appropriate revenue accounts)
SKILLS AND ABILITIES REQUIRED: -Understanding of general bookkeeping functions -Working knowledge of QuickBooks, MS Word, MS Excel and Google Suite -Written and verbal communication skills, especially with customer service -Ability to prioritize work -Good organizational skills -Openness to learn unfamiliar accounting concepts -Willingness to collaborate with all partners
