PROGRAM COORDINATOR FOR THE OFFICE FOR PROTECTION OF CHILDREN & YOUTH


The Catholic Diocese of Cleveland was founded on April 23, 1847. Under the leadership of Bishop Edward C. Malesic, It is the twenty-third largest diocese in the United States. The diocese encompasses the counties of Cuyahoga, Summit, Lorain, Lake, Geauga, Medina, Wayne and Ashland. There are more than 692,000 Catholics in the Diocese, and Catholic Charities- Diocese of Cleveland is one of the largest diocesan systems of social services in the world. There are 185 parishes, 107 Catholic schools, 1 pastoral center and 1 mission office within the diocese. The cathedral is the Cathedral of St. John the Evangelist, located in downtown Cleveland.


PRIMARY FUNCTIONS:


This position assists in fulfilling the mission of the Parish Life and Special Ministries and the Office for the Protection for Children & Youth. Under the direct supervision of the Director of the Office for the Protection for Children & Youth, the incumbent performs secretarial, confidential and administrative responsibilities, utilizing a detailed knowledge of the diocese’s operations, procedures and personnel. Within specified limits, this person makes independent decisions regarding the planning, organizing and scheduling of the work involved. In carrying out this mission, the incumbent is expected to provide administrative support to the Director with proper security and confidentiality. The position carries substantial responsibility and requires a broad range of skills and the ability to exercise considerable judgment, initiative, discretion and independence.

RESPONSIBILITIES:

 Exhibits collegial, competent and mission driven performance while adhering to diocesan policies, practices, directives and agreed upon performance objectives and administrative practices and procedures.

 Provides excellent professional, administrative, secretarial and clerical support to the Director for the Office for Protection of Children & Youth.

 Maintains the VIRTUS database and the Selection.com’s database, Fastrax, a secure background check database.

 Responds in a thorough and professional manner to inquiries regarding the VIRTUS program and database accounts, Praesidium (also known as Called to Protect) as well as the Selection.com process for background checks and the Fastrax database.

 Successfully accomplishes assignments as requested by the Director.

 Prepares correspondence, competently operates a variety of office technology hardware and software, and completes files, mailings, and copying.

 Provides all routine administrative support to the Director.

 Assists the Director in disseminating information to the parishes, educational institutions and other affiliated service organizations of the diocese.

 Manages phone calls, demonstrating tact, confidentiality, professionalism and responsive and supportive follow-up.

 Maintains a clean, orderly and safe working environment and properly uses and maintains office equipment.

 Serves as a resource person in response to inquiries to the Director; responds where appropriate or directs inquiries to the proper person.

 Ensures that departmental correspondence, reports, projects, documentation, data, and records are properly secured and filed.

 Prepares materials for meetings and trainings as requested by the Director.

 Assists with planning and coordinating meetings.

 Provides welcome and hospitable reception to visitors and staff.

 Assists in the completion of major work projects requested by the Director.

 Keeps abreast of administrative services and records retention trends and developments.

 Completes all other assignment in a thorough and professional manner.

 Coordinates sufficient supply inventory for the office.


QUALIFICATIONS:

 Knowledge of the Catholic Church, the Catholic faith, and Clergy of the Catholic Church. Strong alignment with and support of the values, teachings, and traditions of the Catholic Church.

 Associate’s Degree or two years of higher education. Bachelor’s Degree or equivalency preferred.

 Minimum of two (2) years training in business, office administration, or secretarial responsibilities.

 Training in safe environment practices and/or familiarity with best practices in preventing child abuse preferred.

 Demonstrated ability to work with highly confidential and sensitive information and to handle calls and contacts of sensitive nature specific to the Office and the Secretariat.

 Enthusiasm for serving in a variety of offices and supporting a variety of initiatives as needed.

 Excellent time management to successfully accomplish diverse and changing workload and responsibilities.

 Excellent skills in preparing and formatting written correspondence and documents.

 Experience and proficiency with a variety of software, data management, websites, etc. Must possess a high level of proficiency with Word and Excel.

 Experience and excellent skills in using Outlook email functions and calendaring features.

 Excellent telephone and interpersonal skills especially with calls and contacts of a sensitive nature.

 Dependability and accuracy in completing work assignments in a timely manner.

 Capacity and enthusiasm for being flexible and collaborative with other staff members.

 Dedicated to providing a highly professional experience and to positively contribute to an office environment committed to a culture of respect, courtesy, confidentiality, empathy, and diplomacy.

 Demonstrated experience and skills in successful event management of small meetings to large- scale events.

 Demonstrated accuracy and efficiency in managing departmental invoices and completing payment processes established by the Secretariat and the finance team.

 Persuasive and articulate communicator.

 Demonstrated strong administrative and organizational skills.
